Setting up Task Definitions
Task definitions are a series of assignments generated for a new employee upon their addition to the 'Employee Onboarding New Starter' List.
- To establish Task Definitions, proceed to the 'Employee Onboarding Task Definition' List and click on 'New.'
- In the new window, input the following particulars for the task under creation:
Title: This denotes the task's title, such as "Purchase Laptop."
Description: A brief overview of the task, for instance, "Acquire a new laptop for the employee."
Assigned To: Specify the individual(s) automatically assigned to this task upon creation.
Task Code: Generate a unique code for the task, e.g., "EO0001."
Attachments: Include any relevant attachments, such as a purchase order document or a setup guide.
- Click 'Save’
The task is now successfully created. Subsequently, upon adding a new starter to the 'Employee Onboarding New Starter' List, this task will be generated for them in the 'Employee Onboarding' List.
Creating a ‘New Employee’
To ensure the creation of individual onboarding tasks for a new employee, their details need to be input into the ‘Employee Onboarding New Starter' List. Here's a step-by-step guide:
- Navigate to the 'Employee Onboarding New Starter' List and select 'New.'
- In the new window, complete the required details:
Title: Employee's name
First Name: Employee's first name
Last Name: Employee's last name
Preferred Name: The name they prefer to be addressed by
Start Date: The date the employee is joining the company
Job Title: Their job title
Company Department: The department in which the employee will be working
Task Status: The current status of the employee's onboarding
Attachments: Attach any relevant documents useful for onboarding.
- Click 'Save.’ The new Employee will then be created.
Once the new details are added, an individual task from the 'Employee Onboarding Task Definition' List will be automatically generated in the 'Employee Onboarding' List, facilitating a structured onboarding process for the new employee.
Viewing Assigned Tasks
To view and manage your assigned tasks, simply go to the 'Your Outstanding Tasks' SharePoint Site Page.
Here, you can see a list of your tasks and make adjustments as needed.
For example, you can change the task status from 'Not Started' to 'In Progress' for better task management.
